How we use the information you send us

Who we are

This website is run by Lovegate Marketing Limited, trading as LOVEGATE, company number 09467007, registered in England and Wales. Our trading address is Winslade House, Manor Drive, Clyst St Mary, Exeter, Devon EX5 1FY, United Kingdom. We are responsible for the personal information you send us through this website.

Registered office: Ground Floor, Centenary House, Peninsula Park, Rydon Lane, Exeter EX2 7XE, United Kingdom.

For any question about this notice or your information, email info@lovegatemarketing.com.

What we collect

If you use our enquiry form, we receive the details you enter: your name, email address, company (if you give one), the type of enquiry and your message. If you email or telephone us, we receive the details you choose to share.

The form also has an optional box for email updates. It is unticked unless you tick it. If you tick it, we also record that you agreed, the date and time, and the wording you saw.

The form contains a hidden field and a short timing check to block automated spam. Neither collects information about you.

To stop the form being misused, the server counts how often it is used from each connection over short periods. It does not store your internet address for this: each count is kept against a scrambled code, made with a secret key and changed every day, instead of the address itself. Counts expire within an hour and are removed by the daily clean-up described under “How long we keep it”.

Like most websites, ours is run on servers that keep short technical records of visits, such as the time and your device's internet address, to operate and protect the service. Our website does not write the contents of enquiries to these records.

Replying to your enquiry

We use your details to reply to your enquiry, to discuss it with you and, if it leads to business, to deal with you about it.

Lawful basis: our legitimate interests in responding to and following up the business enquiries people choose to send us. We use only what you give us, for the purpose you would expect. If you are asking, as an individual, about entering into an agreement with us, we may instead rely on taking the steps you have asked for before a contract.

Sending an enquiry does not sign you up for email updates.

Email updates (optional)

If you tick the box “I would like to receive email updates from LOVEGATE about product opportunities and services. I can unsubscribe at any time.”, we may send you occasional emails about relevant LOVEGATE product opportunities, services and business updates.

Lawful basis: your consent. Ticking the box is entirely optional; your enquiry is handled in the same way whether you tick it or not. If you do not tick it, we will not send you email updates as a result of your enquiry.

You can withdraw your consent at any time, free of charge, using the unsubscribe link in every email update or by emailing info@lovegatemarketing.com. Withdrawing does not affect emails already sent.

When you unsubscribe or object, we keep a minimal record (your email address, the date and that you do not want email updates) so that we respect your choice and do not contact you again. We keep this for as long as we send email updates. Consent and opt-out records are kept separately from enquiries, so they are not deleted with them.

We have not yet started sending email updates. Before we do, we will update this notice to name the service that sends them and where it stores your details.

How the form delivers your enquiry

When you press Send, your details go to the website's server, which checks them again. The server then sends your enquiry, through our Microsoft 365 account, as one email into our general enquiries mailbox, info@lovegatemarketing.com. The email shows whether you ticked the email-updates box. The website does not send you an automatic email; we reply to you personally.

Before sending, the server saves an encrypted temporary copy of your enquiry, so that it is not lost if the email fails. The form tells you your enquiry has been sent only once Microsoft 365 has accepted the email. If the email fails, or the server cannot confirm that it was accepted, the form says so and asks you to email or telephone us instead; it does not send the enquiry again by itself. Each copy is deleted automatically, as described under “How long we keep it”.

Who handles it for us

Your enquiry is read and answered by Mark Crump and authorised members of the LOVEGATE team. We do not sell your information.

These service providers handle it on our behalf, under contract:

Lovable Labs AB (Sweden)
Hosts this website, runs the server that checks and forwards the form and stores the temporary copy and the form's usage counts in a database in Frankfurt, Germany, under Lovable's data processing agreement. Lovable uses its own sub-processors, which it lists publicly. Those listed for running customers' websites, applications and databases are Cloudflare (worldwide network), Google Cloud (Netherlands), Amazon Web Services (United Kingdom) and Supabase (Europe by default). The list also names monitoring services in the United States for technical logs.
Microsoft (Microsoft 365)
Provides our email. The website sends enquiries through it, and they are received and stored in our mailbox.
Pulse8
Filters email for our mailbox.

Some of these providers operate networks or support services outside the UK. Where your details are processed outside the UK, we use only providers whose contracts include a recognised safeguard for the transfer.

How long we keep it

Enquiries that do not lead to business
Once an enquiry is closed, we delete or anonymise it 12 months after our last meaningful contact with you.
Enquiries that lead to business
They become part of our customer and transaction records, which we keep under a separate retention schedule, as we do for records relating to disputes.
Temporary copy
Each encrypted copy expires 30 days after you send the enquiry and is deleted by an automatic clean-up that runs once a day.
Email-update consent
Kept for as long as we send you email updates, so we can show you agreed. If you unsubscribe, it is replaced by the minimal opt-out record described above.

Deleted emails can be recovered for a short period (14 days by default in Microsoft 365) before they are permanently removed.

Our hosting provider keeps daily backups of the website's database for up to about 14 days, so a deleted temporary copy may remain in a backup for up to that period before the backup itself is deleted.

Cookies

This website does not set cookies and does not load content from other websites; its typefaces are served from the site itself. We will update this notice if analytics or other tools are added.

Your rights

You can ask for a copy of the personal information we hold about you and ask us to correct or delete it. You can also object to how we use it, or ask us to restrict it. You can object to email updates, or withdraw your consent to them, at any time; we will then stop. To make any request, email info@lovegatemarketing.com. We will reply within one month.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk.
